Privacy & Cookie Policy
How to contact us, protect your information and understand the care pathway.
Last updated: October 15, 2026. This policy explains the public website and general enquiries. Your clinician provides the privacy and consent information applicable to clinical care.
About this policy
This policy concerns First Responder Counselling Canada Inc. and its website, frccanada.ca. We are accepting new clients, prioritizing virtual care for eligible clients in Ontario.
Website visits and general enquiries
The public website provides service information and links to secure appointment booking. Our hosting provider may process technical information such as IP addresses and server logs to operate and protect the site. When you contact us, the information you provide is used to respond to your enquiry and direct it to the appropriate person.
Please provide general contact information only in an ordinary email. Do not email medical records, detailed personal health information or urgent clinical concerns. Ask administration for the appropriate secure process before supplying sensitive documents.
Appointments and waitlist requests
Appointment booking and online waitlist requests take place through our secure practice-management booking service, Jane. Information entered there is handled within that service under its applicable privacy terms and the practice’s clinical procedures. A booking link does not transfer your clinical record to the public website.
To join the waitlist, first create your FRC Canada client account in Jane, then sign in and add yourself to the waitlist. Online requests currently relate to Jeffrey Kentel. A waitlist request does not confirm an appointment or establish that treatment is available.
Clinical information and PHIPA
Ontario’s Personal Health Information Protection Act, 2004 (PHIPA) sets rules for handling personal health information. Consent, the purposes of collection and any legally permitted exceptions are central to those rules.
Before treatment, your clinician will explain the clinical privacy and consent process, who is responsible for your clinical record, relevant access by authorized personnel, and the limits of confidentiality. Clinical record responsibilities and any administrative access arrangements must be confirmed before treatment. The Volunteer Advisory Council will not review identifiable client records or direct individual treatment.
Access, corrections and privacy questions
You may ask about access to your personal information, request correction where appropriate, and raise a privacy concern. Requirements, exceptions and the applicable process depend on the information and the organization responsible for it. Contact us first so your request can be directed appropriately. Identity verification may be required before information is released.
For information about Ontario health privacy rights and making a complaint, visit the Information and Privacy Commissioner of Ontario.
Cookies and external services
Cookies are small files stored in your browser. They can support sign-in, security and preferences. You can review, block or delete cookies through your browser settings; blocking cookies may affect sign-in and other functions. Cookies used by an external service are governed by that service’s own notice.
WordPress uses cookies for functions such as administrator sign-in. Website fonts are supplied through Google Fonts, which involves connections to Google’s servers. Links to Jane and other organizations open services with their own privacy practices. If videos or other third-party media are embedded in future, this policy will be reviewed to describe the resulting information handling.
Read Jane’s privacy policy for information about that provider. Please review an external service’s privacy information before entering personal details.
Automated website guide
The “How can we help?” guide presents predefined information and links. It has no free-text chat field, does not collect health information and does not send your selections to an AI service. Opening its menus does not create an appointment, a referral or a therapeutic relationship. If you follow a link, the destination service’s privacy practices apply.
Website information and counselling
Website content and the automated guide provide general information, not an assessment, diagnosis or individual treatment advice. Contact the practice to discuss service suitability. Do not use general email or the website guide for urgent clinical concerns.
Your privacy choices
You may contact us to ask about the personal information used to answer your enquiry, or to discuss withdrawing consent where applicable. We will explain any limits relevant to your request. Choosing not to use an optional external service does not prevent you from contacting administration by telephone.
Contact
For general privacy enquiries, email privacy@frccanada.ca or call 1-888-415-3439. Do not include clinical records in your first message.
