Helping Those Who Help Others

Client information

Privacy & Confidentiality

Understand who can access your information, your choices and how to ask for help.

Your privacy comes first

Seeking counselling can raise questions about who will know and what might be shared. Your therapist will explain confidentiality, its limits and how your information is handled before care begins. You can ask questions at any time.

Who can see my information?

Your information is used to provide care and run the practice. Access is limited to authorized people who need it for their role. Your family, coworkers, employer and Advisory Council members do not automatically have access to your clinical information. Advisory Council discussions concern occupational culture, not individual clients or their cases.

Are there limits to confidentiality?

Yes. In some circumstances, the law requires or permits information to be shared without your consent. Examples may include child-protection reporting, certain serious risks of harm, a court order or professional regulatory requirements. Your therapist will explain the limits that apply to your care. These examples are not an exhaustive list.

What if an employer or insurer pays?

Payment does not automatically give an employer or insurer unrestricted access to your therapy notes. Some funding programs require specific reports or information. Before you agree to an arrangement, ask what must be shared, with whom, why and how consent works. Your therapist will explain applicable requirements and any limits on your choices. A receipt may identify the provider, service and appointment details.

Do I have to describe everything that happened?

You can ask to pause, decline to discuss a particular experience or raise concerns about a treatment approach. Your therapist will work with you on the goals and pace of care, explain what information is needed for assessment and safe treatment, and discuss suitable options with you. Therapy should not require you to tell your whole story at the first meeting.

How do I protect my privacy online?

For virtual sessions, choose a private space where you can speak safely; headphones may help. Tell your therapist if privacy at home is difficult so you can discuss alternatives. Please do not send medical records or detailed health information through ordinary email, website enquiries or social media. Contact administration first for the appropriate secure process.

Questions or access to your records

For privacy questions or to ask about accessing or correcting your clinical record, contact privacy@frccanada.ca or call 1-888-415-3439. Start with a general enquiry; we will explain identity verification and the appropriate process before you send sensitive information.

Website privacy and cookies

Our website privacy information describes enquiries, cookies and other website practices. It should be read alongside the clinical privacy information discussed with your therapist.

Read the published Privacy & Cookie Policy.

Privacy complaints

You can contact our privacy contact with a concern about how your personal health information is handled. You can also complain directly to the Information and Privacy Commissioner of Ontario where Ontario health privacy law applies. You do not need to complete an internal complaint process first.
